GESS teachers spent much time during working hours printing and photocopying worksheets for their students when it could be better used in other areas. 

The printing routine also affected the daily work-life balance of the teachers as they had to sacrifice time outside of teaching to prepare lesson material -- to make up for time lost during printing.

By registering themselves in the cloud system, documents uploaded online become easier and more convenient to print, thanks to the printing enhancements built within the platform.  

Prints are collectable at any machine connected with the cloud in the school, so no need to go through the hassle of selecting a specific printer each time you have a job. Jobs with a heavier printing volume can instead be sent for printing at p;log’s central printing house and conveniently delivered over to the school upon completion.

Challenge

Despite knowing the total number of students studying in the German European School Singapore (GESS), it was hard to accurately order and gauge the number of yearbooks that will be purchased every year. 

Factors such as these affect GESS’ yearbook sales; students having siblings in the same school and relocating from time to time.  Hence, GESS staff were not able to accurately estimate the number of yearbooks that will be ordered each year – considering that the actual number of orders might not tally with the ‘one book order per student’ assumption that will not hold true all the time. 

It would thus be seen as prudent for GESS to order the yearbooks in excess, to accommodate any potential shortfall in the total number of purchases. However, this constantly resulted in the problem of unnecessary and excess inventory, storage problems, wastage, and expenditure.

Solutions

With p;log, parents can easily access the online platform to send in their requests for the yearbooks anytime, anywhere. This allowed GESS to accurately anticipate demand and place the correct number of orders for their yearbooks, through a pre-order management solution. 

Thus, GESS could avoid the problems they had faced from previous years through their inaccurate estimates.

Further cutting costs for GESS, p;log also makes delivery and retrieval convenient for both the school and the parents -- arranging the yearbooks to be delivered directly to its recipients.

 Challenge

The Marketing Department in German European School Singapore (GESS) had to facilitate the internal and external communications within the school daily. Working as a small team with limited resources, they had to also deal with miscellaneous non-value added tasks. Having to constantly meet many deadlines has burned out the team. Hence, it was necessary to engage p;log cloud solutions to aid them in meeting their key performance indicators.

 Solutions

P;log cloud provided GESS with an online storefront, enabling the marketing team to better handle miscellaneous tasks such as producing campus apparel and business cards to meet the demands of the school population of around 1,200 to 1,600 students and staff. Through setting up these items for sale on the storefront, an approval workflow was built in their GESS Storefront’s system.

From the storefront, the usual work of the marketing team is cut down, as the site compiles the necessary data easily. Any imposed changes will alert site admins, namely the marketing team and p;log, via email. This makes it easier for the team to arrange for the production of the goods via the demand feedback from the storefront.
